Historical Note

Generally Accepted Accounting Principles (GAAP) requires an annual fiscal year audit conducted according to industry standards. Institutions are required to have an outside auditing firm come in and review the books, certifying the balance sheets which may have been created by internal auditors or a finance office. A typical balance sheet compares the assets to liabilities and fund balances or a statement of revenues, expenditures and balances. A fiscal year runs from July 1- June 30.

Reports are generally between 2-10 pages depending on the complexity of the fund, or in some cases, multiple fund reports are included in a single audit. These reports were than admitted to the state if needed.

Scope and Content Note

A Report of Examination or Report on Examination is the document that describes the findings and conclusions of an examination of a savings institution. It is comprised of two sections: the narrative section containing analysis and comments of the examiners, and the appendix section containing various schedules, financial data, and other statistics used to support the findings and analysis and the assigned ratings.

This report is used to certify that the financial position for the year is in conformity with generally accepted accounting principles. It includes all of the school's funds which do not include state supported funds or tuition. Reports are not necessarily a complete run but represent all those known to exist. They were obtained from the Finance Office.

The Report of Examination Records are open for research to all users in accordance with University Archives and Records Management access policies. It is available in the reading room of the Ferris State University Archives.

Provenance (Acquisition Information)

Portions of the audits were transferred by Neva Martin in the President's office in fall 1983. The remainder of the records were transferred to the University Archives by the Finance Office in February 2007. The rest were located in the library reserve collection.

Processing Information

The Finance Reports/Audit Reports were processed to the folder level by Melinda McMartin Isler in December 2008. A finding aid was prepared in a word processing format and converted to EAD 2.0. A collection level MARC-21 record was prepared and placed in the library online public access catalog. Technical Requirements

This collection consists of bound typed papers on 8.5 x 11 sheets of paper. There is no specialized software required for viewing.

This series consists of 0.4 cubic feet of records of reports of examinations of various program funds. Information includes a balance sheet listing assets and liabilities and fund balances.

The reports are organized alphabetically by name, and chronologically within the fund.
