University-Wide Notice Procedures
This is a Lotus Notes University-Wide distribution service maintained by Information Services and Telecommunications. The types of notices posted on this medium should be relevant to a broad campus audience of over 1,000 users. Examples include major University events scheduled with short notice, events that promote and enhance the FSU image, personnel announcements, lowering of the flag, parking lot closings, and campus road closings. Notices may be submitted to the Lotus ID UWN for distribution.

All notices to be posted via Lotus Notes must:

  • Be sent to UWN (University-Wide Notices).
  • Have a subject line relevant to the notice. Notes that are received without a subject line will be returned to the sender requesting the sender to include a subject line and resubmit to UWN.
  • Please limit the use of acronyms so everyone can understand the note. If you must use acronyms please make sure they are clearly defined.
  • Duplicate or "reminder" notes are discouraged. Questions about whether notices are appropriate for University-Wide dissemination should be directed to University Advancement & Marketing, ext-2065.
  • University-Wide notices will not be sent out if over 100k in size
  • Due to limited system resources notices to be sent out cannot contain attachments
You should keep your University Wide notices brief when possible. Large files greatly affect the e-mail traffic load on the campus at high volume times. The UWN's delay the delivery of all e-mail. University-Wide notices submitted prior to 4:30pm will be sent out at 5:00pm each day.

A separate e-mail account has been setup to handle School & Weather Notices. This account was created to handle official emergency notices that need to be sent out immediately.

An increasing number of complaints have been received about the growing volume of University-Wide notices on Lotus Notes. Some of the notices currently being distributed via Notes would be more appropriately disseminated using an alternative media. Listed below are four other methods of distributing information on campus and within the local community.

Lotus Notes FSU Campus Calendar

This is a campus calendar maintained by various committee members from different areas of the campus. The calendar ID is FSU Campus Calendar. The types of notices posted on this calendar are camps, special meetings, and special events. Notices should be submitted to the Calendar Committee member in the requester's area. The calendar can be viewed at http://fsunotes1/mail/fsucampu.nsf/CalendarFS

FYI

This is a weekly newsletter published online by University Advancement & Marketing. The types of notices posted in this newsletter are new programs available, scheduled events, training classes offered, events looking for volunteers or participants, campus and area happenings, staff notables, position announcements, sales, and want ads. Notices may be submitted to sheehanm@ferris.edu or West 014 by 10 a.m. on Mondays for publication in that week's issue. The calendar can be viewed at http://www.ferris.edu/htmls/news/fyi/

Ferris Web Site Campus Calendar

Instructional Technology maintains this calendar. The types of notices posted to this calendar are academic events, scheduled events, area happenings, fundraisers, festivals, sales, etc. Notices may be submitted by going to http://www.ferris.edu, then accessing Campus News, then selecting Ferris & Community Calendar, and then finally entering the information to be posted. Alternatively, notices can be submitted by calling Ext. 2169. http://www.ferris.edu/HTMLS/News/Calendar/calendar.cfm

Cable 22

FLITE Media Production maintains the campus information channel as a service to the Ferris campus and the Big Rapids community. (Cable 22 is available locally on Charter Cable.)

The types of notices posted on the Cable 22 information channel are:
o RSO meeting and event announcements
o FSU Arts and Entertainment events
o Campus events and speakers
o Athletic event schedule
o Class offerings
o Area school events and announcements
o Community events

In addition, Cable 22 also broadcasts selected sports events such as home hockey and football games as well as commencement exercises and other special campus events. Cable 22 also broadcasts student-produced programming from the Television and Digital Media Production department during fall and winter semester.

All Ferris departments and organizations are encouraged to submit their meeting and event announcement to Cable 22. Local non-profit organizations are also invited to submit event announcements. Announcements will air two weeks prior to the event date.
