Publications Policy
- Publications that (a) bear the name of Ferris State University, (b) are to be paid for with University funds and (c) are intended for distribution off campus must have design and/or editorial approval from the University Advancement and Marketing office.
- The following items also must receive approval from University Advancement and Marketing:
- use of the University Seal
- deviations from the Graphic Identity
Standards Manual
- Items exempt from this policy include
- materials produced by student
organizations
- routine forms
- scholarly publications
- internal correspondence
- internal reports
(Exceptions: report covers and reports with off-campus distribution are covered under the publications policy.)
- All publications shall reflect the non-biased, non-discriminatory nature of the University.
- Retail use of copywrited signature lines and logos is restricted. Contact the licensing coordinator regarding use.
Communications Process

To create professionally designed communications, contact marketing communications in University Advancement & Marketing at 591-2333 for an appointment. At this time, you will discuss the communication and the most effective format, which might be a postcard, CD, brochure, e-mail, etc.
Writing/Editing
Provide marketing communications with the information needed to be included in your communication. Copy will be written as needed by a staff writer. You will approve all copy revisions prior to design.
Design
After copy is edited and approved, the design process begins. A draft proof of design and copy will be submitted to you for your approval.
Final Draft
You will receive a final draft of your publication before it is sent to the printer. Once you approve the final draft, you will be asked to sign an approval of the final draft. The publication will then be sent to the printer.
Printing Estimates
If you plan an extensive or high-quantity communication, we can help you reduce costs. Estimates will be requested from printers after a design has been approved. Once the most affordable estimate has been determined, your office can have a purchase order prepared from the appropriate budget. Purchase orders are issued to the printer before the job is printed.
Printing and Delivery
Most printers deliver projects within 10 working days.
Style
For written Ferris State University communications, we encourage you to follow a copy style guide that incorporates The Associated Press style used traditionally in newspapers and common usage within the University. See examples under Publications of the current FSU publication style.
Communication Timeline for Creating a Publication
Bold indicates steps you, as the client, initiate which affects time to completion.
Meeting to discuss marketing options/Discuss approvals needed.
Copy delivered to marketing communications.
Photos taken. (photographer receives dates/times from you)
Layout created and proofread.
Layout sent to you (2 days).
Layout returned to marketing communications with changes.
Project quotes requested (answers received 1 week).
Revised layout returned to you for approval (2 days).
Low quote to you for approval. Your office calls printer with purchase order number.
You return layout with approval or changes. Time to project completion depends on length of layout approval.
Project sent to printer (next day).
Printer must have purchase order number from you.
Project delivered (10 working days).
CD Process

The professional staff of Marketing Communications is available to assist you to create college or program CDs for recruiting or an off campus audience. We will help you create CDs that meet the Universitys standards for graphics and quality.
- Make a planning appointment with marketing communications (x 2333), 12 weeks before materials are needed. Several meetings may be required to create a flow chart of how information will be linked.
- Standards for CD Projects
These guidelines will assist to make the process flow smoothly and quickly:
- Photos can be submitted in either electronic format (jpg, tiff, pict) or hard copy (additional charge for scanning hard copy), or obtained from the University photographer.
- Electronic photos should be no smaller than 72 dpi and approximately 8 x 10.
- Any graphic elements such as identity standards, icons and non-photo items must be submitted in an electronic format.
- If you have any questions, please call marketing communications at x2333.
- You will receive a first draft CD for your approval.
Photo Services
Photos for communications can be arranged during your planning meeting.
